Custom Booking Systems for Campgrounds, Hostels & Small Lodging

Online, phone and walk-in reservations in one calendar, without ever selling the last bed twice. We built one from scratch for an Appalachian Trail hostel and campground, and it takes live reservations.

The Jeff Davises Hostel reservation page: a four-step flow of dates, unit, guest and payment over a two-month calendar

Tested Against Real Data

Over 1,000 automated tests run against a real database on every change.

Built on .NET and PostgreSQL

Mainstream, well-supported technology. You own the code.

Moved Over Without Losing a Booking

The engine replaced a live system with guests holding real confirmation codes.

What it does

Built around how a small place takes reservations

Every feature on this page is running at Jeff Davises Hostel & Campground, two miles from Grayson Highlands State Park.

The Last Bed Goes to One Guest

When a phone booking and a web booking go for the same bed at the same moment, exactly one of them wins. On the Jeff Davises build that rule is enforced by the database itself, and the bed is claimed before the card is charged, so nobody pays for a bed someone else got.

Every Channel, One Calendar

Online bookings, phone calls and hikers walking up off the trail all land in the same calendar. Different kinds of stay — bunks, yurts, tent sites, RV parking — each keep their own rates and availability.

A Back Office You Run From Your Phone

Today's arrivals and departures, a month-by-unit calendar, phone and walk-in bookings, seasonal rates, taxes, a refunds queue and monthly reports. Built for an owner who is rarely at a desk.

Syncs With the Listing Sites You Keep

The Jeff Davises engine syncs both ways with Hipcamp, so a night sold there is blocked here and the other way round. Other channels depend on what each one makes available, which we check before quoting.

Payments Through Your Own Processor

On the Jeff Davises build, payments go through Square with no per-reservation commission on top, so a direct booking is one the owner keeps in full.

A Website That Sends Bookings to It

A page for each kind of stay with its own photos and prices, and a Book button that opens the engine with that option already picked. Plus the local search work that gets those pages seen.

The build

Jeff Davises Hostel & Campground

In the first month on the new engine and site, clicks from Google went from 29 to 108 and the business appeared in 21 camping searches, up from zero.

For cabin and Airbnb owners

Photos, listing, website and booking in one package

With our sister company, Fox Ridge Media, we set up vacation rentals, campgrounds and venues from day one: professional photography and drone, a listing makeover, a direct-booking website and, where it fits, this booking engine. Packages start at $695.

Common Questions About Booking Systems

Often you should not, and we will say so. Off-the-shelf reservation software works well for many parks. Custom starts to make sense when the product charges a fee on every reservation, when it is built for big RV parks and fights the way a small place actually runs, or when you sell very different kinds of stay that a generic system handles badly. Those were the reasons behind the Jeff Davises build.

Yes. That is the hard part, and the reason the system exists. Phone and walk-in bookings go into the same calendar as online ones from the back office, and the database makes sure two channels cannot sell the same bed twice.

The Jeff Davises engine syncs both ways with Hipcamp today. Whether another channel can be connected, and how closely, depends on what that platform makes available to outside software. We check that for your specific channels before quoting, rather than promising it up front.

Yes, with care. The Jeff Davises engine replaced an earlier booking system that had real guests holding real confirmation codes, and the move went through without losing a booking. Planning the cutover is part of the project, not an afterthought.

It depends on how many kinds of stay you sell, which channels need to sync and what the back office has to do, so we quote after a conversation rather than from a price list. Consultations and quotes are free.

Yes. With our sister company, Fox Ridge Media, we offer vacation rental launch packages that combine professional photography and drone, a listing makeover, a direct-booking website and, for campgrounds and multi-cabin properties, this booking engine. Packages start at $695 and are listed at foxridgemedia.com/str-launch-packages.
